This article is for brands that use SKUs.
If you don't use SKUS and want to know more about bulk upload, please read this other article.
Bulk uploading of SKUs is always a tricky business, but it can be quick and easy if you're methodical and follow our instructions rigorously.
7 things you need to know:
π 1. You need to have an Excel or CSV file that contains all your SKUs, one per line.
This file is either your own, with a sequence of columns and column headings of your own, or a template that you've downloaded from the platform and then completed. Both can be uploaded back into the platform
π 2. Triple check your upload file to make sure you don't have any duplicate SKUs, which there should never be. The same applies to EAN or UPC codes.
π 3. You can not upload an Excel file that has images in it.
π 4. One particular thing about SKU uploads: in most cases you're going to have several lines of SKUs for one single products, but eventually there is only one product description per product, as well as one product name, product reference, size ref, size hts, stock, prices, suggested retail price, made in, composition, item weight, organic, upcycling, sustainable, fair trade, video link, custom intrastat, custom description.
So how does the system work? It takes the product description (or all other fields listed above) that's in the last line of a product. So make it simple and copy paste in your upload file the same information on every line of the same product, that way don't have to wonder which one will be taken in account.
π 5. If you want all your products to be automatically linked to the product images, then all your images should always be named in the same way:
First the product reference followed by "_" (underscore) or "-" (dash) followed by the position in which the image should be displayed to buyers (either from 1 to 8 or from A to H).
Some examples: redjersey_2 / skirt98732_5 / transparent rain coat-g / tomtom-1 / etc.
β
Product reference must match exactly whatβs in your file (in the "reference" column). Thatβs how the system links the image to the right product.
π« No spaces in the image file names, keep everything connected.
β οΈ Avoid "_" or "-" in the reference part of the image name, these are used by the system as separators.
Of course you can also name your images any way you like, but in that case you will have to link them manually, one product at a time. There will be no instantaneous updating of your images through the bulk upload.
So if you want to speed things up, we suggest that you tell your photographer to always name images the right way from the start, it will save you so much time!
π 6. SKUs being the result of a combination of size and color, your upload file MUST contain information on both.
However, if you don't yet have your colors or prints uploaded in the image library, that's not a problem, the system will generate them automatically based on what your upload file contains.
EXAMPLE ABOUT SIZES:
When uploading you've indicated that all your sizes were in the "all sizes" folder of the image library and so, when analysing your upload file, if the system finds a size that's not in the "all sizes" folder, it will then automatically create it and add it to that folder. So make sure that all sizes are names exactly the same way on both sides.
EXAMPLE ABOUT COLORS/PRINTS:
When uploading you've indicated that all your colors/prints were in the "Winter 25/26" folder of the image library, so when analysing your upload file, the system will automatically link all color names found in your file with colors or prints from the image library (if they have the exact same name!). If the system detects a color name in your file that is not in the image library, it will generate a temporary image that you will be able to replace when you have an image ready to upload.
π 7. Once your upload is complete, you should go to the collection, check your products, and click on "bulk upload" to add market categories. These are very important to help buyers find the right products when they're using filters.
When you're done, you can put all products online and available for orders in that same "bulk upload" section.
As a conclusion, it doesn't matter whether you upload products before you have uploaded product images and/or colors&prints images in the image library. That is something that you can do anytime afterwards, provided that you have named your product images in a way that the system can recognize them (point 4 above).
